Send your request or complaint using either of the channels below. Include the information listed in Section 3 so we can process your request promptly.

What to include in your request

To help us identify your records and process your request quickly, please include the following where relevant:

Include in your message
Your full name — as provided when you made contact with GlowRef
Your contact details — phone number and/or email address you used
Type of request — access, correction, opt-out, or complaint
Description of your request — what information you want accessed, corrected, or what your complaint is about
Relevant dates — approximately when you contacted GlowRef or the matter occurred
Partner salon name — if your contact with GlowRef was via a partner salon voucher
Supporting information — any screenshots or reference numbers if available
Preferred response channel — whether you prefer a response by email or WhatsApp

We may need to verify your identity before processing your request. This is to protect your personal information from unauthorised access.

How we handle your request

Day 1
Acknowledgement
We will acknowledge receipt of your request within 5 business days. You will receive a confirmation that your request has been received and is being reviewed.
Day 30
Substantive response
We aim to provide a substantive response to all requests within 30 days. Complex matters may require additional time — if this applies, we will notify you and provide an updated timeframe.
If declined
Written explanation
If we are unable to fulfil your request — for example, where an exception under the Privacy Act applies — we will explain our reasons in writing and advise you of any available review options.
No fee
Cost
We do not charge a fee for standard access, correction, or complaint requests. A reasonable fee may apply for unusually complex access requests that require significant effort to compile.

Escalation — Office of the Australian Information Commissioner

If you are not satisfied with GlowRef's response to your complaint, or if GlowRef has not responded within 30 days, you may escalate your complaint to the Office of the Australian Information Commissioner (OAIC).

The OAIC is Australia's independent privacy regulator. It can investigate privacy complaints and has the power to make binding determinations. There is no cost to lodge a complaint with the OAIC.

We encourage you to contact GlowRef directly first so we have the opportunity to resolve your concern promptly. However, you are entitled to contact the OAIC at any time.
